Loan of Laptop Computers: Policies and Procedures

The purpose of these policies and procedures is to efficiently utilize the inventory of laptop computers available for loan to RCB faculty and staff from RCB Systems Support (RCBSS).

 

Loans for one week or less < P>

Eligibility: RCB full-time faculty and staff who do not have a laptop computer permanently assigned to them; staff loans are for work-related use, not for classwork or personal use. Students appointed for the semester as GTAs  for whom the head of the academic unit has written a memo to the RCBSS manager indicating the specific course  and course usage for which the laptop is requested.

Procedure: Eligible faculty and staff can make requests by phone or in person; for eligible GTA's, the memo from the head of the academic unit must first be received by RCBSS.  Because of the large number of laptops being checked out regularly, laptops must be signed out and picked up by 4 p.m. on the first day of the loan period and returned no later than noon on the last day of the loan period. 

 

Loans for more than one week but less than a semester

Eligibility: RCB full-time faculty and staff who do not have a laptop computer permanently assigned to them and who present satisfactory justification to the RCBSS manager. Same as above for students appointed for the semester as GTAs.

Procedure: Same as above for loans of one week or less.

 

Loans for a semester

Eligibility: Full-time faculty who do not have a laptop computer permanently assigned to them and students appointed for the semester as GTAs; both cases require a memo to the RCBSS manager from the head of the academic unit indicating the specific course or other specific usage for which the laptop is requested with explanation of why the intended usage requires commitment of a laptop for the entire semester. 

Procedure: The memo from the head of the academic unit should be received by RCBSS not less than two weeks before the first day of class of the semester. Requests will be fulfilled until the stock of laptops reserved for semester-long loans is exhausted for that semester. 

 

Specification of software to be loaded on laptops

All laptops are loaded with the Microsoft Office Professional Suite. Requests for additional software must be made when the laptop is reserved. No software can be loaded without at least 48 hours notice. Only requests for software currently available and licensed to RCB will be honored. 

 

Loans of LCD projectors

RCBSS maintains an inventory of LCD panels and LCD projectors available for loan to RCB faculty and staff. Eligibility criteria and procedures for these loans are the same as those stated above for laptop computers for the three loan periods of varying length. 

 

Eligibility for subsequent loans

Given their size and portability, laptop computers and LCD projectors can be easily stolen or damaged. Subsequent loans to a faculty or staff member will depend on the timely return in satisfactory condition of loaned equipment.
